The Extend Meeting feature allows users to extend an active meeting as long as there is available time in the room calendar. Quicklaunch provides two way to extend a meeting:

  1. extend the organizer's original meeting (through "impersonation")
  2. book a new meeting time slot in the room account calendar

1. Configure Extend Meeting


(a) Configure Extend Meeting to Extend the Organizer's Original Meeting


To allow Quicklaunch to extend the organizer's original meeting, you will need to allow "impersonation".  Follow these steps to setup Exchange to allow "impersonation" for Quicklaunch:  Set up Application Impersonation for Exchange or Office 365.


Once you have set up impersonation, then you need to configure Quicklaunch to use impersonation when extending meetings. Follow these steps:

  • Navigate to Settings (Ctrl+Alt+S)->Account->Login Tab
  • Enable the option "Allow extend meeting"




(b) Configure Extend Meeting to Book a new Time Slot in the Room Calendar


To have extend meeting book a new time slot in the room calendar, follow these steps:

  • Navigate to Settings (Ctrl+Alt+S)->Account->Login Tab
  • Disable the option "Allow extend meeting"



 

Then when you extend a meeting, a time slot will appear in the room account's calendar (rather than adjusting the organizer's original meeting):


2. Setup Meeting Warnings to allow Extend Meeting


To warn users that a meeting is going to end and allow them to extend the meeting, you need to enable meeting notifications:

  • Navigate to Settings (Ctrl+Alt+S)->Calendar->Notifications Tab.
  • Enable Meeting Warning Notifications.
  • Set the time when you wish to be prompted to extend a meeting.


When a meeting comes to the end, the Quicklaunch meeting warning notification will allow the user to extend the active meeting:



4. Extend a Meeting at any Time During an Active Meeting


Quicklaunch provides with an option to extend meetings at any time during the active meeting.


Go to Dock View and choose to "Extend Meeting" that is located on top of the Dock Bar.



The Quicklaunch meeting warning notification will then be displayed, allowing the user to extend the active meeting:
