This guide explains how to have the best user experience using Microsoft Teams to join a meeting, Meet Now and or launching the MS Teams App.

Set up MS Teams join meeting for the best user experience


For the best experience with MS Teams and joining a meeting we recommend using Chrome browser with "Enhanced Experience" and "Ephemeral Mode" system policy. We also recommend disabling the prompt for audio & video for MS Teams. 


This will give users the smoothest experience in a secure environment.  


Please make sure to read the cautions and restrictions below.


Setup MS Teams with Chrome Enhanced Experience and Secure Browser

  1. Enter Settings -> Calendar Group -> Meetings Tab
  2. Change 'Choose a client' to Browser
  3. Select a 'Web Browser' (We recommend using Chrome or Edge)
  4. Enable the 'Enhanced Experience' 
  5. Navigate to System->Policies and enable policy called "Ephemeral Mode"
  6. Choose a 'Join Meeting Strategy'
    • Direct as Team Member - need to enter MS Teams credentials
    • Prompt Anonymous or Team Member - will give you the option 
    • Direct as Anonymous - will need to enter room name when joining the meeting

Remove audio/video prompt

To remove the prompt for audio/video for MS Teams, follow these instructions.

  1. Enter Settings -> System Group -> Policies Tab
  2. Click the '+' icon found under the "Sites with access to audio and video devices' option
  3. Enter https://teams.microsoft.com/  in the 'Site' textbox
  4. Click save
  5. Make sure to close all browser sessions and kill all browser processes in Task Manager




Cautions and Restrictions

  1. Display Rules
    1. Default display rules will only work once user is signed in (where required)
    2. Default display rules are designed to work with Enhanced Experience
    3. You must ensure that all other browser sessions are closed to ensure display rules work correctly.
  2. For anonymous or join as team member to work, you must use enhanced experience.
  3. Anonymous join with MS Teams desktop client is not supported by Microsoft.  Make sure to test in a test environment before deploying to production.
  4. Browser Enhanced Experience for MS Teams uses unsupported features from Microsoft. Make sure to test in a test environment before deploying to production.
  5. Using the MS Team desktop client is not recommended because Microsoft does not have a secure method to close the program and remove personal information





How to launch a Meet Now with MS Teams


This feature starts a chat window with a user, there is no programmatic way to initiate a call.

 

For Meet Now with Teams, we recommend using Chrome we recommend using Chrome browser with "Enhanced Experience" and "Secure Browser". We also recommend to disable the prompt for audio & video for MS Teams (above). 


This will give users the smoothest experience in a secure environment.  

 

  1. Enter Settings -> Actions Group -> Actions Tab
  2. Pick your action group you would like Meet Now to be found in
  3. Click the plus icon to add an action tile
  4. Search for Meet Now in the text box
  5. Click select to confirm the action tile


On the action tile, make sure to select Chrome as the web browser and Enhanced Experience.



When using Microsoft Teams Meet Now, it will require you to select at least one person to begin the chat.  You can start entering their email and then autocomplete will take it the rest of the way for you.


Once you click "Meet Now" a user will be required to sign into teams.  Don't worry, since it is a secure browser, all user information will be cleared once the browser is closed.



Anonymous Join from Thick Client

Users *must* be signed into their MS Teams account for the Anonymous Join feature to work using the Desktop Application



  1. Enter Settings > Calendar
  2. Navigate to Meetings Tab
  3. Choose Microsoft Teams from the list
  4. Choose Teams Desktop Application from "Choose a Client"
  5. Choose Direct as Anonymous from "Join Meeting Strategy"


After clicking a MS Teams meeting from the Quicklaunch calendar, you will be prompted to enter a name



How to launch MS Teams App from an action tile


There are 2 action tiles that launch MS Teams. The 1st, will launch the desktop client of MS Teams while the 2nd will launch the web version of MS Teams.


If you want to to simply launch MS Teams Web, we recommend using Chrome browser with "Enhanced Experience" and "Secure Browser". 


This will give users the smoothest experience in a secure environment.  


Microsoft Teams Desktop Client Action Tile


  1. Enter Settings -> Actions Group -> Actions Tab
  2. Select the Group you would like the action tile to be placed in
  3. Click + icon to add a tile
  4. Search for Microsoft Teams
  5. Select Microsoft Teams and click select



You can then click to action tile to run MS Teams desktop app.



Microsoft Teams Web Action Tile


  1. Enter Settings -> Actions Group -> Actions Tab
  2. Select the Group you would like the action tile to be placed in
  3. Click + icon to add a tile
  4. Search for Microsoft Teams
  5. Select Microsoft Teams Web and click select



        6. Choose a browser you prefer.

        7. Enhanced Experience only work with Chrome or Edge

        8. Enable Enhanced Experience for a smoother experience

        9. Enable Secure Browser to ensure all your credentials are cleared when MS Teams is closed

        10. Enable "Quicklaunch profile" to open browser windows under a temporary profile.

Display Rules Overview



Display Rules for MS Teams desktop client One-Click Join from the Calendar


You can do meeting information substitution into Window Lookup value.


Default MS Teams Desktop Client Display rules are pre-configured to control the Main and the Meeting windows on meeting Join. 


In case, Microsoft changes the naming of the meeting window or the naming of the Main window, these additional values can be used to substitute other values from the meeting details.
